EV Service Terms & Conditions

Effective July 17, 2026

Please review these terms before booking EV diagnostics, maintenance, or repair services with NOVA EV SERVICE.

Acceptance and Scope

These terms apply to EV and hybrid-vehicle diagnostics, inspections, maintenance, programming, calibration, charging, road testing, and repairs provided by NOVA EV SERVICE (“NOVA,” “we,” “us,” or “our”).

By requesting an appointment, delivering a vehicle, signing a repair order, or authorizing work, you acknowledge these terms. A signed or electronically accepted repair order, estimate, and any subsequent authorization will govern the specific work performed and charges approved.

Nothing in these terms limits any right, warranty, condition, remedy, or liability that cannot legally be waived or limited under Ontario law.

Authority and Vehicle Information

You confirm that you are the vehicle owner or are authorized by the owner, lessee, fleet operator, insurer, warranty provider, or another responsible party to request service, authorize work, and incur charges.

You must disclose any known collision, curb strike, underbody or battery impact, flooding, fire, overheating, battery repair, salvage or rebuilt history, charging damage, aftermarket wiring, software modification, previous repair attempt, or unresolved warning.

Incomplete or inaccurate information may affect safety, diagnosis, repair time, parts requirements, cost, and service outcome. NOVA may pause or decline service until sufficient information or authorization is provided.

Appointments and Cancellations

An appointment reserves a confirmed vehicle check-in or drop-off time. It does not reserve a fixed amount of technician or repair-bay time or guarantee an immediate service start, same-day service, or a specific completion time.

A booking request is not confirmed until NOVA sends confirmation. Appointment and estimated completion times may change because of earlier work, diagnostic findings, vehicle condition, safety procedures, parts availability, manufacturer systems, or circumstances outside NOVA’s reasonable control.

NOVA may reschedule, decline, pause, or refer service if the requested work is outside our capabilities, required resources are unavailable, information is incomplete, or the vehicle presents an unreasonable safety risk.

Any deposit, cancellation, late-cancellation, no-show, or special-order charge will be disclosed before it applies and charged, credited, or refunded only as permitted by law.

Diagnostics and Battery Assessments

Diagnostic and inspection services identify likely causes or observable conditions based on the concern reported, the authorized scope, available information, and vehicle conditions present during testing.

Intermittent, concealed, developing, software-dependent, temperature-dependent, or unrelated faults may not be detected. Repairing one confirmed fault may reveal another condition that could not reasonably be identified earlier.

Battery state of health, usable capacity, degradation, cell balance, isolation, charging performance, and range figures are estimates affected by temperature, state of charge, software, calibration, vehicle configuration, driving and charging history, equipment, and test duration.

Unless expressly stated in writing, diagnostic and battery results are not guarantees of remaining battery life, future range, warranty eligibility, manufacturer acceptance, or freedom from future failure.

Diagnostic Charges

Before chargeable diagnostic or inspection work begins, NOVA will disclose the applicable scope and fee or rate.

Properly authorized diagnostic or inspection work may remain payable when a fault cannot be duplicated, proposed repairs are declined, the vehicle is uneconomical to repair, or required parts, systems, or technical information are unavailable.

Where a diagnostic charge is legally treated as an estimate fee, applicable Ontario requirements will apply. Nothing in these terms permits NOVA to charge an amount prohibited by law.

Estimates and Authorization

Where required, NOVA will provide a written estimate before performing chargeable work unless the customer declines an estimate and authorizes a maximum amount payable or another lawful exception applies.

NOVA will obtain authorization before performing chargeable work. Additional work, substituted parts, or a revised price requires further authorization where required.

NOVA will not charge for unauthorized work. Where an estimate is provided, the final charge will not exceed the estimate by more than the amount permitted under applicable Ontario law unless the customer separately authorizes the revised work or price.

Authorization may be provided by signature, electronic acceptance, email, text message, recorded telephone authorization, or another legally valid method.

Parts Policy

NOVA EV SERVICE does not install customer-supplied parts.

All parts must be sourced or approved by NOVA. Depending on availability and customer authorization, parts may include OEM, aftermarket, new, rebuilt, remanufactured, reconditioned, or tested used components, as identified on the estimate or invoice.

Special-order, electronic, programmed, coded, VIN-locked, high-voltage, exchange, and core parts may be subject to deposits, supplier restrictions, shipping charges, core charges, programming requirements, or disclosed return limitations.

Any material part substitution or additional charge requires authorization where required.

Removed Parts and Cores

Where required by Ontario law, NOVA will offer to return parts removed from the vehicle and will return them if requested when the work is authorized.

This may not apply where no charge was made for the part or its repair, where a warranty or supplier requires its return, or where another legal exception applies.

Core, exchange, warranty, high-voltage, and hazardous components may need to be returned to a supplier or handled according to safety, transportation, recycling, or environmental requirements.

EV and High-Voltage Safety

Electric and hybrid vehicles contain high-voltage systems that may create electric-shock, arc-flash, fire, thermal-runaway, chemical, contamination, or toxic-gas hazards when damaged, modified, overheated, flooded, improperly charged, or improperly repaired.

Battery damage may be concealed. In rare cases, a thermal event may occur after a collision, charging event, water exposure, or earlier damage.

NOVA may require towing, restricted access, safety isolation, outdoor positioning, monitoring, additional inspection, emergency response, or referral to another qualified facility before accepting or continuing work.

NOVA may refuse indoor storage or require prompt removal of a vehicle that cannot reasonably be stored safely.

Road Tests, Charging and Programming

You authorize NOVA to reasonably move, lift, secure, scan, connect equipment to, charge, operate, and road-test the vehicle for authorized diagnosis, calibration, repair verification, safety, and shop operations.

Programming, coding, or module replacement may reset vehicle settings, learned values, profiles, schedules, or stored codes; reveal existing faults; affect unsupported modifications; or depend on manufacturer servers, subscriptions, security access, and third-party systems.

You should preserve personal settings and data where reasonably possible before programming. Any material additional work or charge requires authorization.

Pre-Existing and Unrelated Conditions

NOVA is responsible for the authorized work it performs. A limited diagnosis, inspection, maintenance service, or repair is not a certification of the vehicle’s overall condition, structural integrity, crashworthiness, future reliability, regulatory compliance, or every vehicle system.

NOVA is not responsible for unrelated failures or pre-existing deterioration caused by age, wear, corrosion, collision, water exposure, heat, previous repairs, modifications, external charging equipment, or conditions outside the authorized work, except to the extent legally attributable to NOVA.

If disassembly reveals concealed damage, seized or brittle components, missing hardware, or additional required work, NOVA will seek further authorization where required.

Safety Recommendations and Declined Work

NOVA may advise that a vehicle should not be driven, charged, stored indoors, or returned to service until a condition is corrected.

If recommended work is declined or the vehicle remains potentially unsafe, NOVA may document the condition and require towing rather than permit the vehicle to be driven from the facility.

NOVA is not responsible for consequences caused by operating, charging, modifying, or failing to tow a vehicle contrary to a clearly documented safety warning, except to the extent legally attributable to NOVA.

Warranty

Where Ontario consumer law applies, new or reconditioned parts installed by NOVA and the labour required to install them are warranted for at least 90 days or 5,000 kilometres, whichever occurs first, unless a longer written warranty applies.

Warranty coverage does not automatically include unrelated conditions, normal wear, misuse or abuse, later collision or water damage, unauthorized modification, work altered by others, or damage caused by continuing to operate or charge the vehicle after a documented safety warning.

Any additional written warranty will identify its provider, duration, coverage, and material conditions. All applicable statutory and implied rights remain unaffected.

Manufacturer Warranties, Recalls and Third-Party Payments

NOVA is an independent EV service provider and is not an authorized dealership, manufacturer representative, insurer, or warranty administrator unless expressly stated otherwise.

Customers are responsible for confirming manufacturer, lease, insurer, fleet, finance, or extended-warranty requirements before authorizing work.

Approval from an insurer, warranty provider, fleet operator, or other third party does not replace authorization from the customer or another legally authorized person. The customer remains responsible for authorized charges not paid by a third party unless NOVA agrees otherwise in writing.

Certain recalls, service campaigns, security functions, software actions, and manufacturer warranty repairs may need to be completed by an authorized dealership or manufacturer-approved facility.

Payment, Pickup and Storage

Payment of authorized charges is due before the vehicle is released unless another arrangement has been approved in writing.

Authorized charges may include labour, parts, taxes, diagnostics, programming, calibration, shop supplies, towing, storage, safety isolation, hazardous-material handling, disposal, and approved third-party services.

NOVA will provide a written invoice containing the information required by applicable law. Reasonable proof of identity, authority, and cleared payment may be required before releasing the vehicle or keys.

Any storage, safety-isolation, or delayed-pickup charge and its applicable rate and start time will be disclosed as required before it applies.

NOVA may exercise rights available under Ontario’s Repair and Storage Liens Act for unpaid authorized repair or storage charges, strictly subject to applicable law.

Personal Property and Recording Devices

Please remove money, valuables, sensitive documents, and unnecessary personal property before service.

You must disclose active dash cameras, cabin cameras, audio recorders, tracking devices, remote-access systems, immobilizers, or similar devices before service.

NOVA may reasonably cover, disconnect, or request deactivation of recording equipment where necessary to protect employee privacy, confidential information, or safe shop operations.

Photos, Vehicle Data and Privacy

NOVA may photograph or record the vehicle, mileage, state of charge, warning messages, visible condition, components, and diagnostic screens. We may also collect vehicle information reasonably required for service, safety, quality control, documentation, warranty, insurance, and legal compliance.

Personal information will be handled in accordance with NOVA’s Privacy Policy.

Identifiable customer information, licence plates, VINs, faces, or other identifiable vehicle information will not intentionally be used for public marketing or social media without additional permission, unless effectively anonymized or otherwise permitted by law.

Delays Outside NOVA’s Reasonable Control

NOVA is not responsible for delays caused by circumstances outside its reasonable control, including parts shortages, shipping disruption, manufacturer-server or utility outages, cyber incidents, severe weather, emergency conditions, or third-party delays.

NOVA will use reasonable efforts to communicate material delays. This section does not exclude an obligation that cannot legally be limited.

Limitation of Liability

To the extent permitted by law, NOVA is not liable for indirect, incidental, special, or consequential losses such as lost income, missed deliveries, ride-share or fleet revenue, rental expenses, missed appointments, or loss of vehicle use.

This does not exclude or limit liability, consumer remedies, warranties, or conditions that cannot legally be excluded or limited, including loss legally caused by NOVA’s negligence, wilful misconduct, unauthorized work, or breach of an applicable statutory obligation.

Electronic Communications and Authorization

You agree that estimates, repair orders, authorizations, invoices, notices, and service records may be provided and accepted electronically where permitted by law.

NOVA may contact you using the information provided for appointment review, estimates, authorization requests, safety notices, service updates, payment, and vehicle pickup.

Marketing communications require separate consent or another lawful basis and may be unsubscribed from at any time.

Governing Law

These terms are governed by the laws of Ontario and the applicable laws of Canada.

If any provision is found to be unenforceable, it will be limited or removed only to the extent necessary. The remaining provisions will continue to apply.

Questions about these terms may be directed to NOVA EV SERVICE at [service email] or [phone number].

Booking Confirmation

☐ I confirm that I am authorized to request service for this vehicle and that I have read and agree to the EV Service Terms & Conditions and acknowledge the Privacy Policy. I understand that this is a request for a vehicle check-in or drop-off time, that the appointment is not confirmed until NOVA confirms it, and that booking does not authorize diagnostic work, repairs, parts, or charges.
